LUBBOCK, Texas — July 20, 2026 — ContraVault AI and the RFP Professionals community today released The State of Industrial Estimation 2026, a benchmark report on how estimating desks at US contractors actually run. The report is built on a Q1 2026 survey of 312 estimators at industrial contractors and is free to read at thetakeoff.ai.
The central finding is a widening capacity gap. Incoming bids are up 24% over five years while estimator headcount is up 4%. The result shows up in what never gets priced: the median team submits numbers on 45% of the work it qualifies. Lagging desks price 31%. Top-quartile desks price 68%, more than double the laggards.
The tooling has not kept pace with the workload. 89% of estimating teams still price work in Excel, and roughly three quarters of the field performs takeoffs by hand. Estimators lose about 24% of their week to rework, re-checking numbers and redoing takeoffs after drawings change.
The report also surfaces a succession problem. 64% of teams said their hardest scope depends on one or two people whose method exists nowhere but in their heads. When those estimators retire, the method leaves with them.
"Every estimator we surveyed is making the same trade every week: which qualified job gets a number and which one goes back in the drawer," said Sayan Sen, CEO of ContraVault AI. "The ceiling on most desks isn't the market. It's the workflow."
The report includes the Estimating Capacity Index, a free calculator estimators can run against their own numbers to see where their desk sits against the benchmark.
